Partner Service Coordinator

Department: Insight Vacations
Location: Cypress, CA

Role Purpose:

This position assists Executives, Director of Sales, and DSM's with the purpose of maintaining strong business relationships with our partners and servicing their needs in relation to sales initiatives, promotions, and escalated issues. The Partner Service Coordinator will work hand in hand with the sales team to cover all aspects of sales administration tasks and operations, allowing the sales managers to focus on sales.

Summary of Key Responsibilities:

  • Coordinate participate in and support sales activities organized by sales management such as; mailings, telemarketing projects, Luxury Development Forums, trade show activities including mailing of collateral material to venues and processing payments for event participation. Maintain calendar of all sales activities. First point of contact for all questions, concerns and escalated issues from the sales team and trade partners. To participate and manage agenda for weekly sales call.
  • National Account Support with national conferences, regional trainings and special events will support Kristina Miranda and her team.
  • To be first point of contact with Customer Service issues pre, during and post trips/journey. To act as a primary communicator with guest, trade partner and our customer service team (Arlene Henry). To track follow up and communicate to trade and guest.†
  • Provide consistent feedback to Directors of Field Sales on issues and suggestions they come across more frequently and help suggest and implement process improvements to make sales operations run more efficiently. Ad Hoc projects as needed and assigned by Directors of Field Sales and Executive team inclusive of website/brochure QC, competitive analysis, and other sales related projects
  • FAMs- Assist group coordinator with setting up and booking fulfillment for FAMís. responsible for working with Chris Russo and Managers on FAM collateral requests, pre webinars, following FAM Check lists, appropriate deadlines, liaising with operations on rooming lists, flights, transfers, pre/post stays etcÖ
  • Data - Provide support with data maintenance projects. To work with Natasha Sullivan on Salesforce and data maintenance projects. Point of contact for trouble shooting and resolving travel agent log in issues for MTP and trade website.
  • Provide support for assigned Sales Managers in their territories through telephone and email by anticipating their sales requirements and/or fulfilling SM requests for group letters, agent communications, and other sales or company related needs.
  • Occasional travel with DSMs in the field, trade show and event coverage, and educational trips
  • Log and process all invoices, co-op agreements and expenses incurred by Sales Managers.
  • First point of contact for all questions, concerns and escalated issues from the sales team. This includes the ability to look at the bigger picture when responding to escalated situations with our partners and use sound judgment in determining the appropriate resolution. Coordinators have the ability to make judgment calls based on process of approval and escalate to management and executives where appropriate.
  • Customer service relating to all aspects of product knowledge, group policies and procedures and marketing support.
  • Provides support to the sales team for shipments and orders as related to Consumer events, tradeshows, and DSM or Travel Agent needs.
  • Plan and manage Insight hosted partner events such as consumer nights, Agent lunch trainings, appreciations dinners. Including securing venues, menu planning, and managing RSVPs.
  • Responsible for maintaining and updating client records and lists in Salesforce, including consortia, commission, notes regarding accounts, and other potential business projects.
  • Work with operations to assure VIP status of special guests, make TD aware of unique situations, ask specific itinerary questions, request the PAX status (when a tour is WL or on RQ), request tour status (close to DEF).
  • Coordinate business travel arrangements for staff including air, hotel, and car rental reservations when needed.
  • Run weekly sales call log from DSMs Ė follow up calls and emails sent to give promotion updates and introduce themselves as the agentís Partner Services Coordinator working in tandem with their DSM for any support, issues and questions they might have.
  • Assist with planning internal meetings such as the national sales meeting.
  • Generate emails on behalf of the Sales managers i.e. thank you for booking emails, bi-weekly/monthly newsletters on current offers, sales tips etc. and other special announcements/offers as needed.
  • Assist the Insight team with administrative support.
  • Call on Aladdin report D & E accounts.
  • Administrate conferencing/webinars/GoToMeetings within the company and with the agent community.
  • Occasional travel for Agent training, trade show and event coverage, and Educational trips.
  • Other duties assigned and involvement with projects as needed.
  • Act as a conduit between Reservations and Sales as well as Sales and Operations.


  • Research problem bookings and assert resolution.
  • Update agency profiles (correct commission and affiliation).
  • Work with operations to assure VIP status of special guests, make TD aware of unique situations, ask specific itinerary questions, request the pax status (when tour is WL or on RQ), request tour status (close to DEF).
  • Reconcile local coop and keep log.
  • Maintain national tradeshow registration list.
  • Register and pay for tradeshows.
  • Provide vacation/sick coverage for SMís, SD and National Account Directors.
  • Assist in the training of new sales managers.
  • Provide coverage for unavailable/overbooked sales managers at trainings and tradeshows/consumer events.
  • Plan and manage Insight hosted partner events such as consumer nights, training lunches, appreciation dinners securing venues, RSVPís, menu planning and staying within or under budget.
  • Plan and manage all facets of internal meetings such as the national sales meeting.
  • Assist internal executives with travel upon requests.
  • Assist the Insight team with administrative support ie order business cards, set up Office Depot accounts.


  • Sales and Travel related experience preferred.
  • Proficiency in MS Office-Word, Excel, Outlook and especially PowerPoint are required.
  • Must possess excellent communication (oral and written), interpersonal and problem-solving skills.
  • Sales and Marketing experience is preferred.
  • Salesforce experience is preferred.
  • A Team player who is well organized, has great attention to detail, and displays a high level of accuracy.
  • The position requires someone who can multi task in a fast-paced environment.
